Blog: How We Helped Bring the 2025 B.C. Youth Climate Action Summit Online – And Why Hybrid Events Still Matter

Tech table at Hybrid Event in Vancouver

When you’re planning a high-impact event, technology shouldn’t be your stress point. That was the goal for the team behind the 2025 B.C. Youth Climate Action Summit—an event focused on climate storytelling, hosted at Vancouver’s Roundhouse Community Centre and live streamed to participants across the province.

The summit was led by The Starfish, CityHive, Story Money Impact, and the Ministry of Energy and Climate Solutions, and it brought together a powerful mix of youth, educators, and climate leaders. They needed a reliable way to broadcast the event to a remote audience—without overwhelming their team or losing the energy of the room.

That’s where we came in.

Why Hybrid Still Works in 2025

In-person events are back in full swing, but virtual reach still matters. For organizations that care about accessibility, scale, or connecting with remote communities, livestreaming is no longer a nice-to-have—it’s expected.

Events like the Youth Climate Action Summit show us that hybrid models can work well when they’re planned with care. No complex tech stacks. No awkward transitions. Just thoughtful production that keeps the experience clean for both the in-person and virtual crowd.

Setting Up for Success

We treated this livestream like we treat all purpose-driven events: plan early, test everything, and bring the right crew.

We arrived at the Roundhouse Community Centre a day early to set up and run through the AV. That included camera angles, audio feeds, Zoom configuration, and screen support for the speakers. We also provided a podium mic and a downstage monitor so presenters could stay on track while connecting with both audiences.

On the day of the event, our team handled the full stream—multi-camera switching, audio balance, visual monitoring, and real-time adjustments. Everything was routed to Zoom as a one-way broadcast, giving remote guests a clear and uninterrupted experience.

Lessons for Organizers

If you’re planning a hybrid event in Vancouver or the Lower Mainland, here are a few things to keep in mind:

• Book your AV team early—especially if you’re working in a community venue or city-run space with limited in-house tech.

• Do a site check in advance. Testing the setup the day before helped us avoid issues that would’ve delayed the start time.

• Keep virtual simple. Unless audience interaction is critical, a one-way stream often works best. It’s cleaner and easier to manage.

• Don’t underestimate audio. Good audio makes or breaks a livestream. Invest in a proper mic and a team who knows how to manage levels in real-time.

Supporting Events That Matter

We work with nonprofits, government agencies, and community organizations who want technical clarity without the fluff. Whether you’re planning a youth summit, a panel discussion, or a multi-day hybrid conference, we help you stay focused on the message while we handle the broadcast.
